How Can Effective Communication Improve Business Success?

At the moment, I'm on a business trip in Kansas City, Kansas, staying at a newly constructed apartment building that is conveniently situated near the downtown area, grocery stores, and shops. Recently, a resident meeting was held with the owners because of a mistake in their communication system that enabled all residents to view each other's emails and send messages to the entire group.

Effective communication can solve many problems

In addition to the disgruntled residents, the meeting was attended by the construction manager, the owner, the property managers, and other related professionals. The main concerns included ongoing construction issues that have persisted for too long, security and wifi problems, along with other minor matters.


First, I want to say I was quite impressed with the sincerity of the owner with his communication and listening abilities. Many residents continued to repeat themselves and he continued to listen, notate the concerns and acknowledge their responses.


As someone who has spent 15+ years working to improve communication amongst groups of people in a business setting, I was in awe. I'm not sure if it's a midwest thing or he was just a sincere and caring person. I've traveled quite a bit and lived in many places and not once have I ever seen the owner address the residents as a whole.

As someone who has worked with businesses in the construction industry such as remodelers and general contractors, I was quite familiar with the issues that can arise with projects, never mind big ones such as an apartment complex. Forecasting delays, handling unforeseen problems, and dealing with permits—especially when working with the city—can be unpredictable and complicated. It’s never as simple as setting a deadline and sticking to it. This might seem unrealistic to those who haven't consulted, worked, or operated a business in this industry.


As someone who has worked with businesses in the construction industry such as remodelers and general contractors, I was quite familiar with the issues that can arise with projects, never mind big ones such as an apartment complex.

I was impressed with how the professional team acknowledged more communication was needed internally and with the residents so they could understand what is happening. It was clear they weren’t just there to pacify complaints—they intended to take action.


What Could Have Happened There Wasn't Effective Communication
  • Disgruntled residents would continue to complain and cause panic with other residents as well as spread bad PR to outsiders.


  • Dissatisfied residents post bad reviews on google and it deters other potential residents from visiting and leasing.


  • Unhappy residents leave causing less income for the property and potential legal issues.


The Bigger Picture: Communication in Business

As someone with 15+ years of consulting experience, I’ve observed that one of the most common frustrations in any business is the breakdown of communication. Employees frequently cite poor internal communication as a top complaint, and it’s no different in property management. However, this meeting was a refreshing example of how good communication can foster trust and create solutions.


This example showed how effective communication can improve business success. Of course, there’s always room to improve more. Streamlining communication lines between management, residents, and contractors would help reduce frustration moving forward. But I have to give credit where it’s due—this was a well-executed meeting, and I’m genuinely interested to see what solutions come from it.


For now, a big thumbs up to the company for showing up, listening, and demonstrating a willingness to improve. Communication matters, and this meeting proved just how impactful it can be.
